RETREAT & TRIP TERMS & CONDITIONS
By booking and participating in a Retreat or Trip with Reflective Harmony, LLC / Kelly M. Ballard, you agree to the following terms and conditions:
1. Payments, Deposits & Financial Policies
Payment Methods & Security
All payments must be made via credit card or electronic payment methods. We do not accept checks or cash for retreats, trips, or travel-related bookings.
All credit card information is stored securely through our payment processor and is not accessible by Reflective Harmony, LLC. Your payment details are protected with industry-standard security measures.
Deposits & Payment Plans
A non-refundable deposit is required to secure your spot. The deposit amount varies per retreat and will be clearly stated at the time of booking.
Payment plans may be available for certain Retreats and Trips, and must be arranged at the time of booking. Any missed installment payments may result in the cancellation of your booking without refund.
Payment Deadlines & Auto-Charge Authorization
Full payment is required by the final payment deadline, which will be specified at the time of booking.
By booking a Retreat or Trip, you authorize Reflective Harmony, LLC to charge your credit card for all scheduled payments, including deposits and installment payments.
If a scheduled payment fails, you will be notified and given 48 hours to update your payment method. Failure to complete payment may result in cancellation without refund.
2. Cancellation & Refund Policy
Participant Cancellations:
All deposits are non-refundable and non-transferable.
Cancellations 90 days or more before the Retreat or Trip start date: A 50% refund may be issued excluding the deposit, depending on vendor policies and commitments made on your behalf.
Cancellations less than 90 days before the Retreat or Trip start date: No refunds will be given, as accommodations, facilitators, and activities have been reserved in advance.
If you need to cancel, you may transfer your spot to another person with prior approval from Reflective Harmony, LLC. You are responsible for arranging the transfer of payment with the new attendee.
If you choose to leave a Retreat or Trip early, no refunds or credits will be issued for unused portions of the retreat.
Retreat Cancellations:
If Reflective Harmony, LLC must cancel a retreat due to unforeseen circumstances, including but not limited to natural disasters, pandemics, or other events beyond our control, we will offer a credit toward a future retreat or provide a partial refund based on non-recoverable expenses.
We are not responsible for additional travel expenses or costs incurred due to a canceled retreat.
3. Travel & Unexpected Expenses
Participants are responsible for arranging their own flights and transportation to and from the Retreat & Trip location unless otherwise specified.
Travel insurance is highly recommended to cover unforeseen cancellations, medical emergencies, lost baggage, or other travel-related issues.
Reflective Harmony, LLC is not responsible for lost, stolen, or damaged belongings during travel or at the Retreat or Trip location.
Reflective Harmony, LLC is not responsible for any additional expenses related to travel disruptions, flight cancellations, lost luggage, or personal expenses incurred before, during, or after the Retreat or Trip.
4. Health, Safety & Liability
By participating, you acknowledge that retreats may include activities such as meditation, energy work, hiking, or other physical experiences. You understand and accept all risks associated with these activities.
You are responsible for disclosing any medical conditions, allergies, or special needs before booking. If you require special accommodations, we will do our best to assist but cannot guarantee availability.
Reflective Harmony, LLC and its facilitators are not responsible for any personal injuries, illnesses, accidents, or medical conditions that may occur before, during, or after the retreat.
Participants agree to respect all Retreat & Trip guidelines, facilitators, and fellow attendees to ensure a supportive and harmonious experience.
5. Code of Conduct
We aim to create a safe, inclusive, and high-vibrational space. Disruptive behavior, disrespectful conduct, or actions that negatively impact the group dynamic may result in removal from the retreat without refund.
Recreational drugs are not permitted during any Retreat or Trip activities unless otherwise specified.
6. Personal Responsibility & Spiritual Work
Reflective Harmony Retreats & Trips are designed for spiritual and energetic growth. While transformational experiences are common, results are not guaranteed.
Participation is voluntary, and each attendee is responsible for their own emotional, physical, and spiritual well-being.
Reflective Harmony, LLC does not provide medical, psychological, or financial advice. The retreat experience is not a substitute for professional therapy or medical treatment.
7. Photo & Media Release
By participating, you agree that photos and videos taken during the retreat may be used for promotional purposes unless you explicitly request otherwise in writing before the Retreat or Trip begins.
8. Agreement
By registering for a Retreat or Trip with Reflective Harmony, LLC, you confirm that you have read, understood, and agreed to these Terms & Conditions.
